Renewal Jobs
The automation of renewal messaging hinges on two jobs you administer through the Producer Portal’s Configure Alerts/Jobs page: the Expiring Entitlements job and the Expired Entitlements job.
Producers can schedule these jobs and subscribe to their alerts in the Producer Portal.
Expiring Entitlements Job
The Expiring Entitlements job finds entitlements that are nearing their expiration date and generates email messages to end user accounts with expiring entitlements.
When the Expiring Entitlements job finds entitlements that are soon to expire for an account, FlexNet Operations generates an email message about that account’s expiring entitlements and attempts to send the message to the account’s users. End users who elect to receive renewal notifications will get an email message when their account’s entitlements are nearing their expiration date.
For producers, a number of system configuration settings determine when email messages are triggered, which entitlements are included in the Renewal Reminder message, whether or not an email is to be sent, and how frequently an account may receive such email messages. Producers can also customize the email template FlexNet Operations uses when it sends these renewal notifications.
Expired Entitlements Job
This job controls how often FlexNet Operations checks for entitlements that have recently expired. When it finds entitlements that have expired since the last time the job was run, it generates email messages to end user accounts with expired entitlements.
When the Expired Entitlements job finds entitlements that are expired for an account, FlexNet Operations generates an email message about that account’s expired entitlements and attempts to send the message to the account’s users. End users who elect to receive renewal notifications will get an email message when their account’s entitlements have expired.
For producers, system configuration settings help determine how frequently an account may receive such email messages as well as which expired entitlements appear in the End-User Portal’s Expiring Entitlements page. Producers can also customize the email template FlexNet Operations uses when it sends these renewal notifications.
Job Configuration
The operation of these jobs is configurable with both the standard job scheduling controls and with the renewal-specific configuration settings.
Job scheduling controls are the same as those shared by other FlexNet Operations jobs, like the User Deactivated job, the Product/Version Upgrade job, and the numerous data-extract jobs. These controls allow you to set the status of the job (active or inactive), specify the frequency with which the job runs, and limit the subscription to the alerts spawned by the job to specific Producer Portal user roles.
System configuration settings for FlexNet Customer Growth behavior appear on the FlexNet Operations system configuration page (System > Configure > FlexNet Operations). These include settings that govern the time ranges the Expiring Entitlements and Expired Entitlements jobs use to determine which entitlements qualify for renewal reminders or expired entitlement messages. System configuration settings also specify email addresses to receive renewal request messages from end users and to receive notifications when there are no end users who have opted to receive expiring entitlements messages.
